Description
Google Workspace is the suite of cloud productivity apps for all ETNG group companies (Etnetera, Green:Code and others). Each company has its own domain, all managed from a single admin console.
Key apps:
- Gmail — corporate email
- Google Drive + Shared Drives — shared storage
- Google Meet — video conferencing
- Google Calendar — shared calendars
- Google Groups — mailing lists and group emails
Access and Login
- Admin console: admin.google.com
- Login: corporate Google account (
firstname.lastname@etnetera.cz) with Super Admin or User Management Admin role - MFA is mandatory
Procedure — Create New User
- Admin console → Users → Add new user
- Fill in: First Name, Last Name, Primary email
- Generate or set password → check Ask user to change password
- Assign Organizational Unit (OU) based on company and role
- Add to Google Groups as needed
- Click Add new user
Procedure — Suspend Account (Offboarding)
- Admin console → Users → [user] → Suspend user
- User data is retained for 20 days (set up delegation or data transfer)
- Transfer Drive data: Transfer ownership to the manager
- After 20 days or after data transfer confirmation: Delete user
Warning
A deleted Google account and its data can only be recovered within 20 days. Always transfer data before deletion.
Procedure — Reset Password
- Admin console → Users → [user]
- Click Reset password
- Select Auto-generate or set manually
- Check Ask user to change password
Troubleshooting
| Problem | Solution |

| User cannot sign in | Check: Suspended / MFA issue / password; Admin console → Security → Sign-in activity |
| Email bouncing | Check domain MX records; verify account exists and is not suspended |
| Shared Drive inaccessible | Check user membership in that Shared Drive |
| Gmail spam issues | Check Spam filter settings: Apps → Google Workspace → Gmail → Spam, Phishing, and Malware |
